Human Resources Administrative Assistant

Position Summary
The Administrative Assistant of Human Resources performs a variety of skilled administrative and clerical duties directly related to human resources and payroll activities. These include maintaining employee database and files, processing employee information changes on HRIS and Payroll system, compiling data and preparing routine and special reports.   Maintains employee confidence and protects operations by keeping human resource information confidential.

Specific Activities
  • Creates and maintains personnel records in accordance with State, Federal and contractual requirements and demonstrates best practices in regard to personnel information management
  • Obtains and tracks volunteer clearances and random testing per agency contracts
  • Processes new hires, and inactivate departures or LOAs, in Payroll software
  • Processes health benefit elections for newly eligible  employees in payroll software
  • Updates pay rates and other employee changes in Payroll software
  • Updates employee benefits in payroll during open enrollment period
  • Inputs  403b contribution elections for employees in payroll software
  • Collects, prints, and reviews timesheets for labor law compliance during payroll processing
  • Helps verify and reconcile monthly premium billing of health, dental and vision insurance and other benefit invoices
  • Completes miscellaneous research, reports, and memos as requested by supervisor
  • Creates name badges for new employees, volunteers and interns
  • Enroll new hires and remove departing employees from the DMV Pull program
  • Processes business card requests - reviews, confirms prints and distributes
  • Cross-train with HR Assistant to provide back-up support as needed
  • Assists with safety needs (ergonomic desk assessments, required drills, safety team meetings )
  • Provides  assistance with reference checks, clearances, exclusion and debarment
  • Responds to verification of employment (VOE) as needed
  • Proofreads and types documents and correspondence
  • Assists in onboarding new hires. Welcomes new employees to the organization by conducting orientation
  • Enroll new hires and remove departing employees from the DMV Pull program
  • Assists with HR questions and problems courteously and promptly
  • Performs other HR-related duties as assigned 
 
 
Qualifications/Requirements
AA degree plus 2-3 years Human Resources experience required. BA preferred.
 
Knowledge, Skills, Abilities Required
Strong understanding of human resources and payroll functions. General knowledge of employment laws and best practices.  Knowledge of Human Resources Information System (HRIS) a plus. Excellent organizational skills and attention to detail. Extensive knowledge of office management systems and procedures. Ability to operate general office equipment. Excellent written and verbal communication skills. Ability to type 50 words a minute. Proficient in Microsoft Office Suite or similar software. Must be tactful, diplomatic and communicate effectively with individuals at all levels of the organization.  Ability to maintain confidential information.   Ability to meet schedules and deadlines. Good attendance and strong work ethic. 
Other Requirements
Must possess current California driver’s license, valid auto insurance and reliable transportation as well as willingness to drive personal vehicle for company business (mileage reimbursed). Employment subject to clearances, including criminal background checks, driving record, TB and Drug testing.

    Starting salary will commensurate with experience and education.  Bilingual (English-Spanish) differential pay offered.
     
Physical Demands/Work Environment
Work is performed primarily in a standard office environment. Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amount of weight at times (up to 25 lbs.); to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer, telephone, fax machine, and other office equipment as needed. Involves frequent contact with staff. This position requires physical presence at the business location during all assigned working hours in order to adequately perform all duties.

Full-Time (40 hours per week) Monday- Friday
